Office Manager - DC
Leading large law firm is seeking an Office Manager for their D.C. Office. A BA or BS is required. Prior office services or facilities management experience at a Professional Services organization is a plus. Foreign language capabilities are a plus, but not required.
The Office Manager will oversee various departments, including reception/hospitality, mail & copy, housekeeping, document production services and facilities and will handle and contract catering vendors for lunches, dinners or special events and be responsible for the overall supervision and functioning of Facilities and Office Services department in the Washington DC office.. The Office Manager will interact regularly with Department Managers and Administrative personnel from the New York office, as well as other offices firm-wide. In addition, will interact heavily and keep the Office Executive Partner advised of key issues affecting the office as they relate to Facilities and Office Services. The Office Manager will oversee all phases of construction build-outs, expansion and/or remodeling.
Additional Responsibilities include:
Responsible for all the day-to-day facilities and office services functions in the Washington DC office.
Responsible for managing all on-site vendors and ensuring adherence to service level agreements and contracts as negotiated through firm’s Procurement team.
Responsible for facilities and office services set-up of trial sites and/or other temporary work spaces as required by the Washington DC Partners.
Manage attorney office moves and Practice Assistant relocations.
Handle all evaluations for Office Services and Facilities staff.
Identify any additional staffing in the areas of Facilities and Office Services.
Interview applicants for staff positions and assist in making hiring decisions.
Approve overtime on a daily basis and approve overtime reports for all Facilities and Office Service staff.
Approve vacation, personal and scheduled ill days for all Facilities and Office Service staff.
Monitor staff job performance, punctuality, attendance, attitude and appearance.
Collaborate with HR in addressing any staff disciplinary sessions, when necessary.
Report all problems or complaints to appropriate Department Manager for follow-up.
